Membership and Transaction Information: This may include membership type, start and expiry dates, renewal information, services purchased, storage periods, service fees, payment status, transaction records, and refund or cancellation information. Payment card details may be processed directly by our payment service provider. We may not receive or store complete payment-card information where payment is processed by a third-party payment provider.

Mail and Parcel Information: When mail or parcels are sent to your MyThaiAddress receiving address, we may process information such as your name, member ID, sender name, sender address, courier or postal information, tracking numbers, date received, photographs of envelopes or parcels, item descriptions, item status, and pickup or forwarding instructions. Some information is provided by you, while other information may appear on items sent to you by third parties.

Scanned Mail and Documents: If you request document scanning, we may process images or electronic copies of documents, information contained inside those documents, envelope information, and scan request and completion records. The contents of scanned correspondence may contain personal or confidential information. MyThaiAddress personnel may need to open and handle the relevant envelope or document in order to perform a scanning request. We will only access the contents to the extent reasonably necessary to provide the requested service, administer the service, protect against misuse, or comply with applicable law.

Luggage and Stored Belongings: When you use our storage services, we may collect description of the item, photographs of the item, check-in date, storage period, weight or dimensions where necessary, storage location or reference number, collection information, storage payment information, and notes reasonably necessary for handling the item.

The forwarding address may belong to you or another person designated by you.

Pickup Information: When you request collection, we may process appointment date and time, customer identity information, details of an authorized person collecting on your behalf, collection confirmation, and related communications.

Communications: We may keep records of communications between you and MyThaiAddress, including communications through email, telephone, messaging services, website forms, customer support, and the customer dashboard.

3. How We Collect Personal Data

We may collect personal data directly from you when you register or use our services, through your MyThaiAddress customer account, when you contact us, when you request scanning, forwarding, pickup, or storage, through payment providers, from postal operators and couriers, from information appearing on mail and parcels addressed to you, from a person authorized by you, automatically when you use our website or online services, and where otherwise permitted or required by law.

Because MyThaiAddress receives physical mail and parcels on your behalf, we may receive personal information about you from senders even when you did not provide that particular information directly to us.

4. Why We Process Your Personal Data

We process personal data where necessary to operate MyThaiAddress and provide the services requested by customers.

This may include processing personal data to create and maintain your account, verify your identity, provide your Bangkok receiving address, identify incoming mail and parcels, notify you when an item arrives, manage parcel holding, manage luggage and belongings storage, perform requested document scanning, arrange pickups, arrange domestic or international forwarding, calculate and collect service fees, process membership renewals, provide customer support, maintain records of items held on your behalf, prevent fraud and misuse of our address, protect customers, employees, property, and our business, maintain the security of our website and customer accounts, resolve disputes, establish, exercise, or defend legal claims, comply with legal, regulatory, tax, accounting, customs, law-enforcement, or other applicable requirements, and improve and administer our services.

5. Legal Bases for Processing

Depending on the circumstances, we may process personal data on one or more legal bases permitted under applicable Thai data-protection law.

Performance of a Contract: Much of the information we process is necessary to provide the services you purchase or request from us. For example, we need your name and account information to identify mail sent to you, your forwarding address to forward a parcel, and relevant item information to provide storage services.

Legal Obligations: We may process personal data where necessary to comply with obligations imposed by applicable laws, regulations, court orders, government authorities, tax requirements, customs requirements, or other lawful requirements.

Legitimate Interests: Where permitted by law, we may process information when reasonably necessary for legitimate interests such as preventing fraud, preventing misuse of our receiving address, maintaining security, protecting customer property, managing our operations, keeping appropriate business records, establishing or defending legal claims, and improving our services. We will consider the rights and interests of affected individuals when relying on legitimate interests.

Consent: Where applicable law requires consent for a particular activity, we will request appropriate consent. Where processing is based on consent, you may withdraw your consent subject to applicable law. Withdrawal does not affect processing lawfully carried out before the withdrawal.

6. Document Scanning and Confidential Correspondence

We recognize that correspondence may contain private or confidential information.

We do not routinely open customers' mail simply because it arrives at MyThaiAddress.

When you request a document to be scanned, you authorize MyThaiAddress personnel to open and handle the relevant item to the extent reasonably necessary to perform the requested scanning service.

Scanned documents will be made available only through authorized channels associated with your account or as otherwise instructed by you.

Our personnel are expected to handle customer correspondence appropriately and only for legitimate service or operational purposes.

7. Photographs of Mail, Parcels and Belongings

We may photograph incoming envelopes, parcels, luggage, or belongings for purposes such as identifying the item, notifying the customer, recording its condition, maintaining inventory records, preventing disputes, and managing pickup, storage, or forwarding.

Photographs may contain personal information visible on labels, packaging, or the item itself.

These photographs form part of our operational records and will be handled as personal data where they identify or relate to an individual.

8. Sharing Personal Data

We do not sell your personal data.

We may disclose personal data where reasonably necessary to provide our services or operate our business. Recipients may include payment service providers, website and hosting providers, database and cloud-service providers, email and communications providers, postal operators, courier and shipping companies, insurance providers where applicable, professional advisers such as accountants or lawyers, technology and security service providers, government authorities, customs authorities, courts, law-enforcement agencies, and other parties where disclosure is required or permitted by law.

We aim to disclose only information reasonably necessary for the relevant purpose.

9. Postal, Courier and Shipping Providers

When you request forwarding, we must provide relevant information to the postal operator, courier, freight company, or shipping provider. This may include sender information, recipient name, delivery address, telephone number, parcel information, customs declarations, shipment value or contents where required, and other information required by the carrier or applicable law.

Those organizations may process your personal data according to their own legal obligations and privacy policies.

10. International Transfers of Personal Data

Some service providers, technology providers, cloud systems, couriers, or other recipients may process personal data outside Thailand.

International forwarding may also require information to be transmitted to foreign postal operators, couriers, customs authorities, or other organizations in the destination country.

Where applicable, we will take reasonable steps to ensure that international transfers of personal data are made in accordance with applicable data-protection requirements.

11. How Long We Keep Personal Data

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, accounting, tax, dispute-resolution, security, and legal requirements. Different categories of information may therefore have different retention periods.

For example, we may retain account and membership records while your account is active and for an appropriate period afterward; transaction and payment records for periods required by accounting, tax, or other applicable law; item and storage records for an appropriate period after collection, forwarding, disposal, or completion of the service; identity-verification records for as long as reasonably necessary for verification, security, fraud prevention, dispute resolution, or legal compliance; customer communications for an appropriate period for customer support and dispute resolution; and scanned documents only for as long as reasonably necessary to provide the scanning service and related customer access, subject to operational and legal requirements.

When personal data is no longer reasonably necessary, we will delete, destroy, anonymize, or otherwise securely dispose of it as appropriate.

12. Security

We take reasonable administrative, technical, and physical measures to protect personal data against unauthorized access, loss, misuse, alteration, destruction, or disclosure.

Measures may include, as appropriate, account authentication, access controls, restricted staff access, secure storage, security monitoring, appropriate technical safeguards, physical controls over customer property and records, and staff procedures for handling customer information.

Access to customer information should be limited to personnel who reasonably require it to perform their work.

However, no electronic transmission, storage system, or physical security system can guarantee absolute security.

13. Account Security

Customers are responsible for maintaining the confidentiality of their login credentials.

You should use a secure password and should not provide your password to another person.

Please contact MyThaiAddress promptly if you believe your account has been accessed without authorization.

We may request additional verification before allowing access to sensitive information or releasing physical property.

14. Identity Documents

Where identification is required, identity documents will be used only for legitimate verification, security, fraud-prevention, service, or legal purposes.

Access to identity documents should be restricted to authorized personnel and service providers who reasonably require access.

We will not use identification documents for unrelated marketing purposes.

15. Personal Data of Other People

You may sometimes provide us with personal information belonging to another person, for example an authorized person collecting an item, a recipient of a forwarded parcel, a contact person, or another person authorized to receive items through your account.

You should only provide another person's personal information where you have a lawful basis or appropriate authority to do so.

We will process that information only as reasonably necessary for the relevant service and other lawful purposes described in this Privacy Policy.

16. Marketing Communications

We may send service-related communications necessary to operate your account, such as item arrival notifications, storage expiry reminders, pickup confirmations, forwarding updates, account security notices, and membership and renewal information. These operational communications are different from promotional marketing.

Where required by applicable law, promotional electronic marketing will be sent only with the appropriate legal basis or consent.

You may unsubscribe from optional marketing communications without affecting necessary service communications.

17. Cookies and Analytics

Our website may use cookies and similar technologies for purposes such as essential website operation, account login and security, remembering preferences, measuring website usage, understanding how visitors use MyThaiAddress, and improving website performance.

Some cookies may be necessary for the website to function.

Where required by applicable law, we will provide appropriate information and choices regarding non-essential cookies.

Additional information may be provided in a separate Cookie Policy or cookie-management interface.

18. Your Rights

Subject to the conditions and exceptions provided under applicable law, you may have rights concerning your personal data, including the right to request access to your personal data, request a copy of certain personal data, request correction of inaccurate or incomplete information, request deletion or destruction of personal data where applicable, request restriction of processing in certain circumstances, object to certain processing, request data portability where applicable, withdraw consent where processing is based on consent, and make a complaint to the relevant data-protection authority.

The availability of a particular right depends on the circumstances and applicable law.

A request to delete information does not necessarily require us to delete information that we are legally required or otherwise lawfully permitted to retain.

19. Exercising Your Privacy Rights

To make a privacy request, contact contact@mythaiaddress.com.

Please include enough information for us to identify you and understand your request.

We may need to verify your identity before fulfilling a request in order to prevent unauthorized access to another person's information.

We will respond in accordance with applicable legal requirements.

20. Complaints

If you have concerns about how MyThaiAddress handles your personal data, please contact us first so that we can investigate and respond.

You may also have the right to submit a complaint to Thailand's competent personal-data-protection authority in accordance with applicable law.

21. Disclosure Required by Law

We may preserve or disclose personal data where we reasonably believe this is necessary to comply with applicable law, a court order, legal process, or a lawful request from an authorized government or law-enforcement authority.

Where legally permitted and appropriate, we will seek to limit disclosures to information relevant to the lawful request.

22. Fraud, Misuse and Safety

We may process and retain information where reasonably necessary to investigate or prevent fraud, illegal activity, misuse of the MyThaiAddress receiving address, prohibited shipments, threats to customers or staff, security incidents, non-payment, or disputes involving customer property.

Information may be disclosed to appropriate authorities or service providers where legally permitted or required.

23. Children

MyThaiAddress is not intended to provide independent memberships to children.

If we become aware that personal data of a child has been collected in circumstances requiring parental or guardian authorization under applicable law, we may request appropriate authorization or take other necessary action.

24. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, business operations, or legal requirements.

The latest version will be published on the MyThaiAddress website with the date of the most recent update.

Where appropriate, we may notify customers of material changes through the website, customer account, email, or another reasonable communication method.
